Job Purpose & Responsibilities

The Management Assistant (MA) supports the General Manager Global Tax and the General Manager Group Financial Controllership. The MA is generally responsible for ensuring the Amsterdam office operates at an excellent level and may assist other executives based in Amsterdam or at other offices. The MA performs comprehensive, confidential secretarial duties requiring broad experience, skill, discretion and a knowledge of SABICs organization, policies and practices. The MA has regular contact with both internal and external stakeholders. The MA should be able to work independently and proactively.
The position reports to the General Manager Global Tax.
Main tasks:

  • Acting at all times with the utmost discretion with confidential and sensitive information.
  • Pro-active e-mail/mail management and follow-up based on close co-operation with the managers.
  • Corresponding in good English and Dutch. Following up correspondence and taking appropriate action to support management. Monitoring and executing SABICs house style.
  • Maintaining & monitoring Outlook calendars and organizing & managing appointments, meetings and (video) conference calls. Preparing agendas and setting up and preparing for meetings. Taking meeting notes, identifying next steps and following up action points.
  • Organizing business events, such as meetings, workshops, lunches & dinners, both internal and external, being mindful of cultural differences.
  • Proactively book (international) business travel based on email and calendar activity with minimal instructions.
  • Setting up and maintaining an excellent filing system, both paper and electronic (in ECM).
  • Maintaining financial and staff administration, managing travel claims and purchase orders.
  • Providing guidance to the Office Assistant and back-up as needed.
  • Aware of compliance requirements including Health & Safety.

Requirements

  • Strong self-motivation to initiate actions within the organization to get things done across the functional areas within Corporate Finance and across all regions.
  • Good communication, time-management and organizational skills.
  • Extensive executive secretarial experience with higher education (HBO) qualifications.
  • Excellent Microsoft Office and other IT skills, e.g. with SAP system tools. Experience of using telepresence, skype and other media.
  • Knowledge and understanding of a multinationals organization and structure, particularly the finance function.
  • Experience as a secretary/ management assistant working in a multi-national company with an aptitude for dealing with broad cultural differences.
  • Team player.
  • Facility management and/or hospitality experience would be an advantage.
  • Excellent Dutch and English, additional languages would be an advantage.
